Changes to the Special Events Team!
Hello!
As some of you know, in late-December we changed organisers' roles quite a bit. We added tracks (forum, feed, discussion) and changed all events to weekly week-long ones. However, this is now being dismantled and reverted back to how things were structured beforehand.
For those who are new and joined during week-long events...
This means, no more tracks. Everyone will now be all-rounders (responsible for activities on all corners of 7 Cups) and you can work on day, week or month-long events. This offers more flexibility in what you can do and when you can do things.
How do I sign up to events now?
As a result, the Organisers' spreadsheet becomes essential to use (so please PM me as soon as you can if you've lost it - although you should be able to find it in your Google Spreadsheet history), as that is how you will sign yourself up to events once again. This means, you will no longer be using a form to do so.
Please avoid signing up too far in advance and aim for doing so two weeks prior (as this is a good starting time for any length of event). This also helps us to avoid a rush of people signing up to things they cannot later commit to. I will be checking in to see if you are still available prior to any event you sign up to. Remember, remove your name ASAP if you can no longer work on anything. This is very important - as it allows another person to pick it up.
Does that mean we are all lone wolves now?
As for working as part of the team, your contact for help is myself (QuickJazz). There is also a Get Help For Topics sheet you may have noticed. You can reach out to organisers who list themselves as interested in those topics, to see if they can help.
So, no! You are not at all alone and should not be working that way (with zero contact with anyone else). I check in regularly to see how people are progressing with their events. We are still very much a team and ought to strive to be willing to offer our helping hand to each other!
But am I alone for the actual organising?
If you wish to co-organise with an organiser that is listed for an event, please contact them (on the spreadsheet or directly/through a teen mentor if relevant). This is so that you can form a formal partnership, and be clear on how you will work together. You can also ask another organiser if they'd be interested in working with you.
Please remember that if you're not working with various teams and such around 7 Cups, you should be. This role is a very social one, we require helping hands from all over to get things done. Without all of the wonderful volunteers we had, we couldn't do what we do.
More information
New organisers, if you do not choose an event to work on, you will be approached to work on one. This is because, when you sign up, you agree to actively participate with the team. Therefore, you must work on an event as soon as possible!
Things like the requirements for being an organiser remain the same. You can read more on it here.
The spreadsheet will be changing very soon too to reflect these recent events. Please allow a little time for that to happen though!
If you have any questions, are still confused or unsure about anything, please send me a message anytime!
If you are a new organiser who joined in late-December especially, please contact me about the above too.
