Introducing Our New Dashboard!

Hello, hello lovely hosts! Happy 2022! I hope all of you had a great New Year’s Eve. To start off 2022 we will officially be switching over to the TOZ dashboard! I know a lot of you have gotten the chance to look at it and provide feedback, which is much appreciated. In this post I will be going over how to use the dashboard, it’s different features and tabs, and how to sign up for sessions. Group Support Sign-Ups

The “Group Support Sign-Ups” tab is the 5th tab on the dashboard. This is where all hosts will sign up for their sessions. We currently have a quota of 3 sessions per month which all hosts are expected to fulfill. Unlike the old sign-up system, you do not have to host the same session each week, you are welcome to experiment with different sessions! If you prefer to host the same session at the same time each week, you’re also welcome to continue doing so as long as you sign-up early to reserve the slots.

Sign-Up Procedure - Member Daily Sessions

  1. Look for the week you want to sign up for at the top of the sign-up sheet.

  2. Find an empty slot and add your username (make sure to use correct spelling and capitalization!)

  3. Change the status next to your username to “Scheduled”*

  4. After finishing your session, change the status to “Completed,” for missed or cancelled sessions, adjust the status accordingly

Sign-Up Procedure - Discussions

  1. Look for the week you want to sign up for on the side of the sign-up sheet.

  2. Find an empty slot and add your username (make sure to use correct spelling and capitalization!)

  3. Add in the time for your session

  4. Change the status next to your username to “Scheduled”

  5. Message @sophiasanae immediately to let her know that you signed up so the session can be added to the Tockify calendar

  6. Once your status is changed to “Tockified” it has been added to the community calendar and is approved (In cases where your session clashes with another already on the community calendar, you may be asked to reschedule)

  7. After finishing your session, change the status to “Completed,” for missed or cancelled sessions, adjust the status accordingly

*For member daily sessions there is no option to change the status to “Tockified” because those sessions are always on the Tockify calendar. Only discussions need to be added manually. Once your member daily session is marked as “Scheduled” on the sign-up sheet you are good to go!

Please note that a cancelled session refers to one where the host informed @sophiasanae and their co-host at least 48 hours in advance. A missed session is one where the host forgot to host the session or was unable to host at the last minute. If you know you have to miss a session, please message @sophiasanae and your co-host to give them a heads up. If your session is cancelled at least 1 week in advance and no one else is signed up to host, it will be deleted from the sign-up sheet to give someone else the opportunity to sign up for that slot.

All hosts are asked to sign up for their minimum of 3 sessions at the beginning of the month. This makes it easier to add sessions to the community calendar. Throughout the month, if you’d like to host an additional session, you’re more than welcome to sign-up and then message @sophiasanae. Also, if you don’t see a day/session topic that you’d like to host, message @sophiasanae so it can be added! (Only for discussions, member daily sessions cannot be changed)!

Scripts and Links

Scripts have been moved under the “Links” page at the top of the “Group Support Sign-Ups” page. Other helpful links like the feedback form for session participants, the mod schedule, and more are listed in the same section.

Tracking

To make sure you’re staying on top of your monthly quota, you can check out the “Group Support Tracking” page. This shows how many sessions you hosted during the month and how many cheers you received (100 cheers per session). Only completed sessions will be awarded cheers.

You will also no longer have to fill out the Discussions Tracking Form each week! Whoohoo! This is because sessions are automatically tracked by our fabulous dashboard.

New Self-Care Break Procedure

On the first page of the TOZ Dashboard is the "Welcome" page. The most important section to review is the Self-Care Procedure. If you are going on a self-care break you must inform @sophiasanae at least 3 days in advance and let your co-host know as well. You will then go on the second page of the dash called “Profiles” and change the status next to your username to “Self-Care.” In the Subcommunity Focus/Notes section please add your expected return date.

Ex: “Expected return date: 1/2/22”

When you return from your break please inform @sophiasanae and your co-host and change your status back to “Active” on the “Profiles” tab.

Summary:

  1. Inform @sophiasanae and co-host (if you have one) of your self-care break

  2. Change your status to “Self-Care Break” on the “Profiles” tab

  3. Add your expected return date in the focus/notes section

  4. When returning, inform @sophiasanae and your co-host

  5. Change your status back to “Active” on the “Profiles” tab
