Become a Special Events Organiser on 7 Cups! [Outdated thread]

As some of you may know, we are beginning to commemorate and celebrate more awareness and fun events on 7 Cups. These are called ‘observances. Its fantastic!! It takes a collective effort for us to be able to do so, and its wonderful to have such a variety of listeners volunteering their time to make this happen.

Therefore, we are looking for those interested in joining our team to help organise special events on 7 Cups.

What are Special Events Organisers?

Special Events Organisers organise events commemorating and/or celebrating observances on 7 Cups. They gather help and aid in things coming together and going smoothly, as well as give others a point of contact for certain events. Therefore, as an organiser, you will work to engage all listeners who offer their support and contributions - by providing guidance, help and encouragement.

You will also be working together with many others in and outside of the team. Therefore, team work and communication are essential.

Role of an Organiser.

Organisers have to be all-rounders. Dedicated and hardworking. This is because you will be trying to engage participants in all locations on 7 Cups: the feed, forum and chat rooms. This involves creating a forum post about your event and organising discussions, as well as feed and forum activities. You will also ideally be in contact with social soldiers, in order to reach those outside of 7 Cups.

Then after the event has taken place, you will be making sure that all content and records are up-to-date (e.g., information about discussions and whether they took place, etc).

In fulfilling your role, you will:

→ Come up with objectives for an event and possible activities
→ Possibly post to the Volunteer Task Board if there is help wanted for various events
→ Keep us all in the loop with what you are doing and planning by sharing a sheet (on a spreadsheet) for your event
→ Keep track of what you have to do and take things step-by-step
→ Actively network and reach out to others to gain support for events (beyond any Help Wanted post)
→ Respond to those who have reached out and want to participate
→ Follow up with and support listeners on their progress
→ Practise open and clear communication throughout and flexibility
→ Encourage everyone to take care and enjoy whatever they wish to do
→ Enjoy what you do and take care of yourself!

Do organisers work on events every month?

Not necessarily. You will only help with the events you have volunteered or agreed to organise. Therefore, if you have already organised an event or two that month, you may wish to take a break until the next month, for example. It is very flexible in that regard!

How far in advance do we begin planning?

It's best to begin planning at least two weeks before an observance. If you are suddenly unable to continue working on an event, you must notify QuickJazz and anyone you are working with immediately. In addition to that, you must remove your name from the event you are listed as working on.

This team will suit you if you:

Enjoy collaborating and working closely with others
Have strong interpersonal skills
Welcome close interactions with team leaders

Are there any requirements? There are! We are looking for the following:

✔ Joined one month+ ago
✔ Have good experience with spreadsheets (we use A LOT of spreadsheets)
✔ Familiar with (or willing to learn) the various areas on 7 Cups
✔ A passion for spreading awareness and fun
✔ Experience participating in special events (as a discussion leader, forum writer, etc) Exception: You can speak about your experience doing this with other teams and for other events in general, as newer listeners may not have had these opportunities
✔ Ability and willingness to update records frequently
✔ Good and/or creative problem-solving skills
✔ Flexible and open in communication
✔ Open to feedback
✔ Good stress and time management skills
✔ Comfortable asking for help or assistance
​✔ Attention to detail
✔ Understanding of the role of organising (vs. participating)
✔ Dedication to put in the time needed to organise an event
✔ High availability around and on the day(s) of organised event
✔ Enthusiasm for the role

How can you find out what events are coming up?

Upcoming observances will be listed on our team spreadsheet. We choose our events from there, although you can also propose to do unlisted ones providing they are approved by one of the leaders.


Sounds easy enough. I'd like to give this a try!

It may sound easy, but it's actually a lot more work than many first anticipate. You need to be able to dedicate a long period of time for working on events, be reliable (including by letting people know when you will not be available ASAP) and work very hard to create these events.

So it is extremely important that you carefully consider just how much time and preparation may be involved.

New organisers will be paired with experienced ones for the first event. Therefore, they will both support and be supported by those they are working together with (in addition to being able to seek help from all team members). However, this requires being open. For example, if you cannot complete something, you need to let someone know so that they can help you. The only way we're able to achieve our events is by working with, trusting and supporting one another.

Overall, we are a flexible, supportive and close-knit team who value celebrating observances, working together, self-care and having fun!

Please read all of the above over at least twice, to make sure you understand the roles before you begin.

The following are suggestions from organisers reflecting on their first events…


Have fun and feel free to get involved yourself.
 
E.g., you don't have to give up all discussions to other people if you don't want to.

Don't be afraid to ask questions if you're not sure or need something.
 
We're all here to help!

Avoid doing too much by yourself.
 
As new organisers, things seem a bit easier than they are! It can actually get too stressful to organise week events and have enough for each day - to get that right balance. So try to stick to goals but feel free to reach out and get support whenever you need it!

Manage your stress and maintain a level of calm.
 
Stress management and keeping calm even when things dont go the way you want them to is arguably the most important thing to keep in mind as an events organiser. You can have many great ideas, so it can be disheartening if youre no longer able to do them. But its okay to let go, and to keep them somewhere in case they can be used for any events in the future!

Try not to do too much at once.
 It's much harder than it seems to get all these things organised, and I felt like I had to do loads from day one. But I guess it's important to know that you don't have to do everything all the time, and to ask others for support if you need it!

@Kayrosesnowflake Yes, there is a form you will need to fill out, and it is found on the spreadsheet itself. smiley Have a readthrough of the entire spreadsheet thoroughly and you should be able to find it. :)

I read through the spreadsheets and the full version of the guide, however I wasn't able to find the application! Is it on a Google Form? I may have accidentally skipped it
