Welcome Committee Team: Outreach Messages That Have Worked For You?
Hi, team! Firstly, thank you so much for all of your diligent work on the welcoming front! As a result of your ongoing greetings, we're retaining more newbies. This is a really big deal and I can't express enough my gratitude for the care you pour into our
We send many PMs round the clock and I can understand if it feels a bit discouraging not to receive responses. Of course, many factors play into this. Often times the member has signed off, maybe they left the platform, or they may just still be figuring things out, like how PMs even work!
Regardless, I wanted to open a team thread to share any particular style or approach to PMs that you noticed might see a higher rate of responses. Here's one that's been working for me lately!
🙋 1st
Hey there! 👋 My name’s H and I’m popping in to welcome you to 7 Cups!
Since you’re just starting out, I wanted to give you the opportunity to ask any questions about how to connect to a listener, what the community has to offer, or anything else to help you settle in here. Lemme know!
Something I add in a 2nd PM immediately after since AI is getting smarter:
(Don’t worry, I’m not a bot! The only bot support is Noni on your chatlist. <3)

I like your greeting a lot! I might take it for a spin to see what kind of responses I get. I recently started using a greeting that has increased the number of people who reply. But out of 50 people, I may get 3 people, 4 if I'm lucky. Before it usually was 1 or none. Not a big increase, but an increase.
Hi there, and welcome to 7 Cups! I’m Jenna, an Ambassador here, and I’m so glad you’re joining us! My goal is to help you get comfortable and find your way around the platform. While I can’t provide emotional support, I’m more than happy to guide you as you get started.
To make things easier, I’d like to share our Welcome Pack with you! It has tons of helpful info to get you oriented and I can answer any questions about it that you may have: 📌https://docs.google.com/document/d/1M53Nm5-pbtxx2_jKfXYgYzo3NgXxjNfMwfzVSRC1rZg/edit?usp=sharing
Take a look, and let me know if you have any questions. I’m here to help!
*This is sent in parts instead of one full message to appear less robotic.*
@Jenna
yeah, every member counts so even 1-2 is substantial. generally, i have seen a 5-10% rate of responses overall which makes sense but that's why tinkering with messages is worth trying. it's the one thing we can control!
and yes yes separating out pasted messages is super important!! thanks for highlighting that point!
@Heather225 Thanks H! This is a great approach✨ I will modify my greeting accordingly. The AI disclaimer is definitely needed lol.
@Heather225
Here's the outreach message that has worked for me:
"Hi, there! We're so excited to have you join the 7 Cups community. You've taken the first step toward your journey of connection and support. Welcome 💖 Do you want to talk about what you are looking for?"
@Heather225
insight .. don’t do script . We can tell it a mile off and generic messages are the biggest and easiest red flag.
you want to come across as caring and welcoming, then copy and paste is the wrong way to go about it.
maybe look at the username and talk about it, ask why or assume if lighthearted. Maybe take some responsibility and if disclosed XYZ let them know you can introduce them to listeners that are good in such areas.
Be personal .. for so many reasons
What does the requirement to say you are not AI, say about the AI and the welcome process?
Both you and the user both agree, that AI is on par with the current welcome committee because they are indistinguishable unless quoted otherwise.
That’s the effect of script
@LabeledBPD
Have tried this, striking up a welcome conversation over username, got no responses. It doesn't work really.
